In 2011, we invented Hashtag Printing and today our products have been featured at over 1,500 events in 200 cities across the world, including iconic cultural experiences like the Grammy Awards, Olympics, Super Bowl, and Comic-Con International. We are looking for a highly organized, experienced, and skilled Office Manager to join our growing company and manage our day-to-day operations to ensure organizational effectiveness and excellence. Reporting to the Director of Operations, the Office Manager will handle a range of administrative and operational functions, and provide organizational support to Luster’s team of over 30 employees.

The major responsibilities of the position are:

Office & Admin

Here at Luster the Office Manager keeps our NYC headquarters running smoothly and efficiently. Responsibilities include:

  • Facility maintenance and improvements

  • Administrative processes and systems

  • Vendor relations

  • Inventory of office supplies, snacks, etc.

  • Improvements, management, and staff assistance for office tech

  • Planning of office events

  • Office admin related budget

  • Management of front desk staff

  • Managing aspects of our pending office move

Bookkeeping & Accounting

  • Bookkeeping

    • Reconcile Salesforce and Quickbooks (monthly)

    • Manage relationship with our outsourced CFO vendor

    • Manage expense tracking software and processes

  • Accounts Receivable and Accounts Payable

    • Own accounts receivable process from when invoice is sent to payment collected

    • Capture weekly deposits - cash checks, record all incoming payments in QB

    • Help improve efficiency of AR process

    • Own and improve accounts payable process


  • Onboarding preparation and coordination

  • First day orientation for new hires

  • General process and software training

  • Maintaining and improving employee handbook

  • Onboarding & Offboarding systems

  • Assisting with recruiting efforts


  • 3+ years of experience as an Office Manager, ideally at a similarly sized start-up

  • Strong communication skills

  • Excellent analytical skills and the ability to use spreadsheets

  • Exceptional organizational skills

  • Ability to think on your feet to reactively respond to issues or roadblocks

  • Thrives in a team environment

  • Strong problem solving skills and an insatiable desire to improve yourself, others around you and the business in general

  • An ability to thrive in a growing, and changing organization
